CAMPER RENTAL PROVIDERS

The Suffolk County Parks Department is in the process of establishing its preferred Camper Rental Provider list for the upcoming 2018 Camping season.  Starting this year, the Parks Department will allow patrons who are interested in renting a camper and having it placed on a site use the camper rental company of their choice. 

As the Department often gets requests for vendor referrals, companies can apply to be on the Suffolk County Parks Preferred Camper Rental Provider List. The preferred vendor list fee is $750 and provides the following benefits:

1.    Marketing and Advertising by the Parks Department through its web page, social media pages as well as through direct emails to the Parks green key card membership.

2.    Links from the Parks website directly to your business rental registration site and information.

3.    Expedited registration process at campground check-in.

4.    Verification of your business to Suffolk County Park campers, ensuring that you are a legitimate business, and that your company’s insurance and New York State Registration is compliant with laws as well as Suffolk County Park Policy.

SUFFOLK COUNTY PARKS APPROVED FOOD SERVICE PROVIDERS

SUFFOLK COUNTY PARKS APPROVED FOOD SERVICE/CATERER PROVIDERS NOTICE

 

The Suffolk County Department of Parks is in the process of establishing a list of approved food service/caterer providers for the 2018 season. The Parks Department requires that all individuals and organizations that enter into permits to use our parks, historical buildings and reserve camp sites for groups and wish to have the event catered must use a food service provider approved by the Department and placed on its “approved list”. The Department is hoping to establish this list in December, as we start reserving sites for groups beginning in January and the groups ask for the approved list at that time. We have found most groups book their food provider before June.

 

The requirements to become eligible for the “Approved Food Service/Caterer Provider” program are:

 

·         Flat fee of $750.00 includes advertising on our new Vendor website

·         Proof of required Suffolk County Health Department permits and Food Handler certificates.

·         County specified insurance coverage as outlined in Permit Agreement.

·         Required County Form SCEX 22- Contractor’s/Vendor’s Public Disclosure Statement

·         Two signed and dated Parks Department *Food Provider Permit Agreements

MOBILE FOOD and BEVERAGE CONCESSION BIDS

INVITATION: This is an invitation to submit a sealed bid for a permit to operate a mobile food/beverage concession for the 2017 season subject to the terms, conditions and special instructions of this bid.  Bids must be received and date stamped priorto the pubic bid opening at 11:00 a.m. on Wednesday, March 1, 2017.  All bids should be submitted on the form provided with this invitation.  Click Here for the bid form.

The Suffolk County Department of Parks is accepting Proposals/Bids until at 11:00 A.M. on Wednesday, March 1, 2017 for permits to operate a Mobile Food/Beverage Concession for the 2017 season at one or more of the following Parks:

Southaven County Park, Brookhaven

Indian Island County Park, Riverhead

Raynor Beach County Park, Ronkonkoma

Blydenburgh/Paul T. Given County Parks, Hauppauge

Sears Bellows County Park, Hampton Bays

West Hills County Park, Huntington

Cathedral Pines County Park, Middle Island

Lake Ronkonkoma County Park, Ronkonkoma

Proposers are advised that this is for a mobile concession—it is not the Department’s intent to allow concessionaires to park at the site for an entire day nor are concessionaires permitted to park on the side of roadways.  The mobile concession’s primary focus is serving park patrons. There may be an alternate Suffolk County Park not listed above for which you would like to provide service. Add the Park’s name in the blank space and enter the proposed permit bid. The Department will consider your proposed site and advise you whether or not the County approves of adding a mobile food/beverage concession to the proposed park.

The requirements to obtain a Permit for a Mobile Food/Beverage Concession are:

  • The Permit Holder must obtain and show proof of the Food Vending Vehicle Permit provided by the Suffolk County Health Department (unless all foods/drinks sold are pre-packaged).
  • Food preparation, transportation and handling must adhere to Suffolk County Department of Health rules and regulations.
  • Proof of County specified insurance coverage as outlined in Permit Agreement.
  • Permit fees to be paid by the selected Vendor upon execution of the Agreement.
  • Completion of County Mandated Forms

One Permit will be awarded for each park to the highest bidder with the proper credentials and product offerings to operate a Mobile Food/Beverage Concession.  Proposers must provide a phone number at which they can be immediately reached upon award of permit.  All requirements must be provided to the Department immediately upon notification of award.  If this is not done, the Department will move on to the next bidder.  Determining what products should be offered at what sites is at the sole discretion of the Department.  In the event of a tie, Proposers will be asked to re-submit their final, best bid.

CANOE, KAYAK and PADDLEBOARD MOBILE CONCESSION BIDS

INVITATION: This is an invitation to submit a sealed bid for a permit to operate a mobile Canoe/Kayak/Paddleboard concession for the 2017 season subject to the terms, conditions and special instructions of this bid. Bids must be received and date stamped prior to the pubic bid opening at 11:00 a.m. on Wednesday, February 28, 2017. All bids should be submitted on the form provided. Click HERE for the Bid Form.

The Suffolk County Department of Parks is accepting Proposals/Bids until Wednesday, February 28, 2017 at 11:00 A.M. for permits to operate a Canoe/Kayak/Paddleboard Concession for the 2017 season at the following Parks:

Cedar Beach, Southold

Meschutt Beach County Park, Town of Southampton

Cedar Point County Park, Town of East Hampton

Paul T. Given County Park, Hauppauge

Green’s Creek County Park, Town of Islip

Smith Point Marina, Shirley

Indian Island County Park, Town of Riverhead

Southaven County Park, Town of Brookhaven

Lake Ronkonkoma County Park, Town of Smithtown

Timber Point County Park, Town of Islip

The Department recognizes there may be an alternate Suffolk County Park not listed above for which you would like to provide service.  In that event, you may suggest an alternate Suffolk County Park and submit a bid for it. Add the Park’s name and a specific description as to the proposed launching spot in the blank space and enter the proposed permit bid. The Department will consider your proposed site and advise you whether or not the County approves of adding a canoe/kayak/paddleboard mobile concession to the proposed park.  Please be advised that only park properties that belong to Suffolk County are included in this permit—the onus is on each Proposer to verify the sites they propose to use are Suffolk County Parks property.

The requirements to obtain a Permit for a Canoe/Kayak/Paddleboard Concession are:

  • County specified insurance coverage as outlined in the Permit Agreement.
  • Permit fees to be paid by the selected Vendor upon execution of the Agreement.
  • Completion of County Mandated Forms

An Advertising Fee of $250.00 to be used for Commissioner-directed advertising. Payment and camera ready advertisement must be received by Parks by 3/15/17 to be included in the Suffolk County Parks Leisure News (newsletter).

A one year Permit will be issued for a site to the bidder who has the proper credentials to operate a Canoe/Kayak/Paddleboard Concession, meets all the requirements stated above, and provides the best financial return to the County.
